CollectionPilot STEP-BY-STEP HELP

A clear order.
A confident first publish.

Arrange collections, understand product activity and keep every change deliberate.

Before you start

Coming soon. This guide covers the connected Shopify app. Store-owner access is required. The browser-only sample demonstrates basic arrangement with fictional products.

1 / COLLECTIONPILOT

Install and choose access

  1. Open CollectionPilot in Shopify

Install from the Shopify App Store when available, then open Apps → CollectionPilot as the store owner. No separate account or theme installation is required.

  2. Review the plan in Shopify

Open Plans and settings → Choose or change plan in Shopify. Check price and trial eligibility on Shopify’s approval screen. Starter is $9.99/month; Pro is $19.99/month. Development-store approvals are free tests, not live charges.

2 / COLLECTIONPILOT

Choose a collection

  1. Import the collection

On Collections, search for a collection and choose Import collection. Importing reads its products; it does not publish a new order. Open an imported collection to work on its arrangement.

  2. Choose stock locations

Select the locations whose inventory should count. By default, untracked inventory and variants allowed to continue selling are available. Treat backorders as unavailable changes that rule.

3 / COLLECTIONPILOT

Arrange products and rules

  1. Set a baseline

Drag selected products, use Alt + Up/Down on a product row, or enter a position and choose Move. Undo, Redo and Discard edits affect unsaved edits. Pin here keeps a product at its exact position, including a sold-out product.

  2. Choose a few rules

Use a preset or select sold-out demotion, new arrivals and broken-size demotion. A size counts once across colours. Products without the selected size option are exempt. Pins take precedence; stock and size groups come before tag rules, then new arrivals.

  3. Use existing tags

Filter by tag to find products. Product tags → Tag action promotes or demotes a chosen existing tag within the other rule groups. Filtering alone is not an ordering rule. CollectionPilot never adds or deletes Shopify product tags.

4 / COLLECTIONPILOT

Preview, publish and restore

  1. Save and preview

Choose Save rules and pins, then Preview arrangement. Saving rules pauses automation; it does not publish. Inspect the preview and confirm manual collection sorting if prompted.

  2. Publish deliberately

Publish the preview and check Activity for Published and verified in Shopify. A queued request is not a completed change. Shopify’s native manual order applies only where the storefront uses that sort order.

  3. Restore a previous order

In Activity and restore, choose Preview previous order, inspect it and confirm restore. Restore pauses automation and preserves products added since the original run. Check the completion result.

5 / COLLECTIONPILOT

Enable automation only when ready

  1. Choose a schedule

After saving and testing rules, choose Manual or Daily; Pro also offers six-hour updates. Set the displayed time, check its timezone, deliberately enable automatic publishing and save the schedule.

  2. Pause when needed

Use Pause automation and queued work for one collection or Pause all automation on the dashboard. Saving rules and restoring also pause automation. A cancellation may arrive after a batch was applied; inspect Shopify before retrying.

6 / COLLECTIONPILOT

Read optional product insights

  1. Enable with a deliberate choice

Open Product insights, read the data explanation, confirm the analytics-consent option, review and expressly accept the linked service terms and data-processing agreement, then choose Enable product insights. Your Shopify Customer privacy settings govern consent. Recording starts after activation and does not import earlier history.

  2. Read the product activity panel

Open a collection and choose Last 7 days or Last 30 days. Expand a product’s activity to see views, basket additions and daily UTC counts. Repeated actions count separately; these are not unique shoppers, purchases or conversion rates. Activity is across the storefront, not attributed to this collection.

  3. Control collection of events

Turn off recording in Product insights whenever needed. Paused or unconsented visits and blockers can leave gaps. Daily counts last 31 days; event deduplication receipts last up to two days plus cleanup. The app shows when its 50,000-action rolling-day cap is reached.

Fix a warning safely

  1. Publishing needs attention

For an uncertain request, the collection is locked against another publish. Wait at least five minutes, inspect the Shopify collection and use the reconciliation control. Never blindly repeat an unconfirmed change.

  2. Collection is too large

Each collection supports 500 products, 10,000 variants and 50,000 variant/location stock records within 8 MiB of data. Use a smaller collection if a limit is exceeded. Limits apply even when your overall plan permits more products.

  3. My storefront looks different

Check that the theme and visitor are using manual collection order. Another sort option overrides it. CollectionPilot preserves automatic membership conditions and does not edit your theme.

8 / COLLECTIONPILOT

Plans, export and cancellation

  1. Understand plan limits

Starter manages 20 collections and 2,000 unique products; Pro manages 100 collections and 10,000 unique products. Products shared between managed collections count once. Both include all arrangement rules and optional insights; Pro adds six-hour scheduling.

  2. Export or stop managing

Plans and settings → Download your settings and history exports your data. Stop managing this collection removes its saved settings and automation, leaving its Shopify order as it is. After a downgrade, reduce managed collections/products to the lower limits.

  3. Cancel in Shopify

Use Shopify subscription controls or uninstall. Pausing automation or recording alone does not cancel billing. Changing plans or reinstalling does not restart the up-to-14-day trial. See Shopify’s approval/cancellation screen for effective dates and charges.
